HR Operations Manager

Warsaw, Poland (Hybrid)

We are currently looking for an experienced HR Operations Manager to join our HR team in Poland. The purpose of the role is to run the daily functions of the Human Resource & Administration Department including managing all stages of the employee lifecycle, from onboarding to offboarding, employment relations, contract management, compliance with relevant labor laws and internal policies, compensation and benefits administration, HRIS administration, employee’s support on employment matters.

What you’ll do:

Employee Lifecycle Management

  • Oversee all stages of the employee lifecycle, from onboarding to offboarding with genuine support of newcomers, regular employees and their managers.
  • Manage the pre-boarding processes in close cooperation with the Recruitment team and facilitate seamless onboarding experiences, ensuring proper induction and trial period administration.
  • Administer HR Operations activities including surveys, motivational initiatives, performance evaluations, etc.
  • Manage offboarding with gentle support to all involved parties, administer terminations and exit procedures with due diligence, ensure appropriate handover of tasks, handover of company assets, and document flow.

 

Compliance and Policy Enforcement

  • Ensure that the company complies with all relevant labor laws, regulations, and internal policies.
  • Maintain up-to-date employment agreements and HR regulations, ensuring workplace safety standards, and addressing any legal issues related to employment.
  • Organize employee’s awareness about internal policies and procedures.

 

Compensation and Benefits Administration

  • Prepares actual reports for payroll processes, including attendance, vacations, and salary adjustments. Ensures that employees are compensated accurately in close cooperation with the Payroll Accountant.
  • Manages benefit programs, such as health insurance, MyBenefit, pension plans, social support payouts, and other perks, ensuring that benefit programs are effectively communicated and administered.
  • Implements benefits of Total Rewards in Poland and organizes employees’ awareness about benefits programs.

 

HR Information Systems (HRIS) Management

  • Manage local HRIS (E-Nova) ensuring HR data management and effective tracking of employee attendance, leave management, salaries and benefits, etc.
  • Maintain employee records in excellent order.
  • Generate reports on request of Global HR Operations Function about essential HR metrics.

 

Employee Relations and Support

  • Serves as the primary point of contact for employee inquiries and issues. Handle employment-related inquiries from newcomers, employees, and their supervisors, referring complex and/or sensitive matters to the appropriate recipients.
  • Provides support in resolving conflicts, addressing grievances, and ensuring that employee concerns are handled promptly and fairly.
  • Foster a positive work environment through the implementation of engagement and recognition programs.

 

What we expect:

  • Degree in Human Resources Administration, or other relevant fields.
  • 3+ years as an HR Generalist/HR Operations Manager in a mid-sized company.
  • Proven knowledge of multiple human resources operations such as onboarding, HR records management, terminations & offboarding, employment relations, compensation and benefits.
  • Well-versed with local HR practice in Poland, payroll regulations, labour law, and related regulations.
  • Advanced user of HRIS / HR data management systems, E-Nova experience is a big plus.
  • Advanced user of MS Office tools, Excel-savvy to manage data analysis and HR Dashboard reporting.
  • Advanced in English and fluent in Polish (written and spoken). The Ukrainian language is a plus.
  • Strong interpersonal skills, excellent written and verbal communication skills, positive attitude, and good negotiation skills.
  • Structured working style and focus on delivering results as per agreed timescales and scope.
