GMS is looking for an Office Assistant to support daily administrative operations and ensure seamless office management. In this role, you will liaise with local institutions and suppliers, coordinate document workflow, manage correspondence, and oversee office administration.

What You Will Do

  • Administrative Support:
  • Liaise with local institutions and suppliers (e.g., taxi services, couriers).
  • Coordinate document workflow (contract signings, printing, scanning, copying, binding).
  • Manage correspondence dispatch (letters, parcels) domestically and internationally (DHL, DPD).
  • Oversee office administration (ordering supplies, managing access cards, parking permits).
  • Collaborate with office space operators for issue reporting and cleaning arrangements.
  • Event & Meeting Coordination:
  • Organize business meetings (conference room bookings, catering arrangements).
  • Assist Event Managers with event logistics and supply coordination.
  • Travel & Document Management:
  • Support the Travel Team with document processing and transfers.

What We Expect

  • Final-year student or recent graduate.
  • Proficiency in MS Office and general office tools.
  • Fluency in English and Polish is required; knowledge of Ukrainian or russian is an advantage.
  • Strong organizational skills and attention to detail.
  • Proactive, adaptable, and dedicated to task completion.
  • Previous experience in office administration or a similar role is preferred but not mandatory.
